Production & Operations Coordinator

Compensation: $45,000 – $55,000 annually, depending on experience.
You are the person who makes sure nothing falls through the cracks. You are someone who wants to be the engine that moves projects forward.
You sit at the center of operations and production support. You keep the paperwork flowing and the admin noise away from the people who need to be producing. You're organized, you follow through, and you take pride in the details that most people overlook.

What you’ll be doing
Accountable for vendor and crew paperwork. Third-party agreements, Payroll onboarding, W-9 collection, I-9 collection, and general contractor setup.
Manage employee records, PTO tracking, leave requests, and benefits documentation. Keep it clean, current, and compliant.
Support onboarding for new hires and contractors. First-day logistics, system access, documentation, and making sure people feel set up to succeed from day one.
Clear administrative clutter from the Producers such as Amazon orders, logistics confirmations, vendor follow-ups, and the small things that become big problems when nobody owns them.
Maintain and organize operational documentation. SOPs, trackers, templates, project folders in Shared Drive.
Support scheduling, calendar coordination, meeting prep, agendas, and follow-ups for the operations and production teams.
Route invoices to Accounts Payable and track paperwork status.
Serve as support for operations leadership in day to day comms with facilities, IT, and general office needs.
Proactively identify gaps, delays, or things about to slip. Then fix them or flag them.
This role involves working outside standard hours and working weekends and holidays.
Who we're looking for
✔ 1–3 years in an administrative, office coordination, or operations support role. Agency, production company, or fast-paced creative environment preferred.
✔ You've managed paperwork, vendor communications, and internal coordination across multiple people and projects at the same time. Juggling isn't stressful for you. It's Tuesday.
✔ You're comfortable with HR platforms and tools or you're a fast learner who can get up to speed on systems like Rippling, Wrapbook, or similar quickly.
✔ You're proactive, not reactive. You see what needs to happen next and you do it without being told.
✔ You communicate clearly, follow up relentlessly, and understand that the small details are what keep big projects from falling apart.
✔ Proficient in Google Workspace (G-Suite). Google Sheets, shared drives, and organized folders are your natural habitat.
✔ Responsive, autonomous, and equipped to work in a non-traditional creative setup.
Bonus if you also bring
✔ Experience in a production office, post-production house, or creative agency where you've seen how content or events gets made from the inside.
✔ Experience in office management and/or bookkeeping
✔ A genuine curiosity about automotive culture, motorsport, or brand experience. Not as a requirement, but as a reason you'll love being here.
✔ Tech-savvy — you pick up new software quickly and you don't wait for someone to hold your hand through it. We use a mix of tools and you won't always get a tutorial.
